Books appointments by collecting name, phone, service and a time slot; lists the insurers it accepts (SHA, Jubilee, AAR); quotes consultation prices; refuses to diagnose. County office: Tembo County Huduma Desk
Single business permit renewal, land rates, parking fees and where to pay. County websites are where citizens go to find out how much and how to pay, and where they most often give up. A Huduma bot in English and Swahili cuts queues at the revenue office. Tembo County does not exist, but the fee structure mirrors real ones.

Resident and non-resident rates, peak-season rules, airport transfers from Ukunda and Moi International, and a 50% M-Pesa deposit. Real estate: Nyumba Yetu Properties

Church offices get the same questions all week from first-time visitors and members who missed the announcements: the bot answers them, connects people to a Life Group in their area, and passes prayer or counselling requests to a pastor on WhatsApp rather than leaving them in an inbox. KRA deadlines, eTIMS onboarding, and bookkeeping packages by business size. Every June the same questions arrive from hundreds of people at once, and every one of them is a potential client. The bot explains what a nil return is, what eTIMS setup involves, quotes the package that fits the business size, and books a call, while making clear it is not giving binding tax advice. What a Chatbot Needs to Work in Kenya
Most chatbot products are built for American e-commerce. A bot that works in Nairobi needs six things the global tools usually skip:
- M-Pesa inside the conversation: either an STK Push prompt triggered from the chat or exact Pay Bill and account instructions, plus automatic confirmation when the Daraja callback lands.
- WhatsApp handoff: when the bot cannot help, it should hand the visitor and the conversation summary to a human on WhatsApp, not to a contact form nobody reads.
- English, Swahili and Sheng: reply in the language the customer used. Test this before you pay for anything.
- Honesty about what it knows: a bot that invents a price or a policy costs you more than no bot. Ours are instructed to say "I am not sure, let me connect you".
- Kenya Data Protection Act 2019: collect the minimum, never ask for PINs or ID numbers, tell people how their details are used, and decide deliberately whether chats are stored.

The number that matters after launch is the running cost. Website Chatbot vs WhatsApp Chatbot: Which First?
Start on the website. It needs no Meta approval, costs the least, and catches the people who found you through Google and are about to leave. Add WhatsApp when you have proven which questions the bot handles well, because every WhatsApp conversation costs money and every outbound template needs approval. Chatbot Integration in Nairobi: How These Demos Were Built
No secret sauce, and that is the point. Each bot is a large language model, a system prompt with the organisation's fact sheet and rules, and a small server route on this site that streams the reply to the widget.
